CoconutERP and CoconutCRM are enterprise business platforms developed to help organizations manage operations, customer relationships, workflows, analytics, and internal communication through a unified cloud system. These platforms are intended for authorized business use only and are not designed for public consumer usage.

1. Scope

This Privacy Policy applies to authorized users who are granted access to CoconutERP and CoconutCRM by their organization as part of their employment, operational responsibilities, or contractual engagement.

2. Information We Collect

• Employee name, work email address, and phone number
• Role, department, and access permissions
• Customer, sales, operational, and business workflow data
• Business communications and activity records
• System logs, audit trails, and technical diagnostics

3. Email Integration (OAuth)

CoconutERP and CoconutCRM may integrate with email providers such as Google Workspace using OAuth authentication. Access is strictly limited to scopes required for approved business workflows including sending, receiving, syncing, or logging official communications.

Email access is optional and may be revoked by users at any time through their email provider settings. The platforms do not access personal emails unrelated to business operations.

4. Use of Information

Information is used solely to:

• Operate and maintain CoconutERP and CoconutCRM
• Enable authorized ERP, CRM, and communication features
• Improve customer relationship and operational workflows
• Ensure security, auditing, and compliance
• Improve system performance and business efficiency

5. Data Sharing

Data is shared only within the authorized organization on a need-to-know basis. CoconutERP and CoconutCRM do not sell, rent, or use customer or business data for advertising or marketing purposes.

6. Data Security

Industry-standard security controls are implemented including encrypted communication, role-based access control, secure credential handling, audit monitoring, and infrastructure protection mechanisms.

7. Third-Party APIs

CoconutERP and CoconutCRM integrations with Google APIs comply with the Google API Services User Data Policy, including Limited Use requirements.
